Dropshipping Suppliers in Poland (2026): Where to Find Them and How to Agree Terms

Short answer: dropshipping suppliers come from five sources. The first is a Polish wholesaler with a dropshipping programme in your category. The second is an importer or distributor with a warehouse in Poland or elsewhere in the EU. The third is a manufacturer that ships to your customer. The fourth is a platform that bundles many wholesalers in one panel (Base.com, Sky-Shop). The fifth is AliExpress, CJdropshipping or a sourcing agent in China. If you sell to Poland, start with a wholesaler that has a warehouse in the country. Before your first order, agree in writing on: the dispatch cutoff, the XML/CSV feed or API, EAN codes, invoices, returns and the return address, parcels without the wholesaler's branding, transport damage and a test order.

Where to find dropshipping suppliers: 5 sources and when each fits

Pick the supplier for the market you sell to. For Poland the simplest start is a wholesaler with a warehouse in the country: the parcel travels with a domestic courier, and invoices and complaints happen in Polish. China makes sense when Polish wholesalers don't carry the product.

Base.com says it integrates more than 600 wholesalers, and Sky-Shop lists 300 suppliers on its integrations page. A platform saves you work on feeds, but you still agree the commercial terms (returns, fees, dispatch cutoff) with each wholesaler.

Dropshipping wholesalers in Poland and the EU by category (as of September 2026)

Wholesalers with a public dropshipping programme in 2026 include Incom Group and Action (electronics), Matterhorn and Numoco (fashion), Mondex, vidaXL and Ikonka (home), LEAN Toys and Leker (toys), Sonia and Bio Planet (cosmetics and organic food) and BigBuy (general merchandise, EU warehouse). The table only lists wholesalers whose public website described a dropshipping programme on 26 September 2026. The margins are indicative ranges from Base.com's guide, not my data. For electronics Base.com cites the Sky-Shop blog.

The margin in the table is the gap between wholesale and retail price. Ads, shipping, returns and payment fees come out of it afterwards. Selling headphones for 200 PLN at an 8% margin? You keep 16 PLN for ads, returns and payments.

What the wholesalers say about their terms

  • Incom Group (IT): you register at incom.online and accept electronic invoices. Dropshipping abroad is possible, with shipping priced case by case.
  • Action (electronics): says it handles up to 100,000 parcels a day across delivery-to-business, dropshipping and fulfilment.
  • Matterhorn (fashion): XML, CSV and XLS feeds, a REST API and a Shopify app. It packs dropshipping orders in unmarked packaging and leaves the invoice out. Returns that aren't complaints only work as an add-on service. A parcel returned because of a wrong address or non-collection costs you EUR 5.
  • Numoco (fashion, manufacturer): registration with a Polish tax number (NIP), no minimum order value, stock in XML and CSV, no marketing inserts in the parcel. Courier within Poland costs 14.63 PLN net, delivery in 1-2 business days after payment clears.
  • Mondex (home): more than 3,000 products, ready integrations (Baselinker, IdoSell, Sky-Shop and others) plus XML, CSV and API. It issues one invoice per day. It ships on your own courier labels within 24 hours. It doesn't accept returns straight from your customers: once a month, for an extra fee, you can send back full-value goods. You pay a refundable activation fee to start. Their own dropshipping page returned an error when I checked, so I am not quoting the packing fee or the maximum dispatch time — ask them before your first order.
  • vidaXL (home and garden, EU): the terms require a VAT or other tax number, a paid subscription and KYC verification. If an item in your order was mispriced, you have 24 hours to reconfirm or vidaXL cancels the order.
  • Ikonka (toys, home): a B2B account; the XML feed with prices and stock is a paid annual subscription.
  • LEAN Toys (toys): you need a registered business and a NIP. Access to the XML files (IOF 3.0, 2.6, 2.5) costs a one-off 200 PLN net; if you place no order within 6 months, access is blocked. Orders placed by 11:00 on a business day ship the same day (except the pre-Christmas period). It issues a separate invoice for every order.
  • Leker (toys): registration through a B2B form; the site lists more than 3,000 products and more than 30 brands.
  • Sonia (cosmetics): dropshipping within Poland only; you can negotiate the discount during the partnership.
  • Bio Planet (organic food): full order handling in the dropshipping model through its B2B platform.
  • BigBuy (EU): a warehouse in Europe, shipping in 24/48 hours, wholesale prices from a single unit, sync through CSV, XML, FTP or API.

These terms change without notice. Read the current terms on the wholesaler's site before you sign.

How to agree terms with a dropshipping supplier: 9 things to get in writing

Before your first order, agree nine things with the wholesaler and ask it to confirm them by email or in the contract. Each row has an example from the public terms of wholesalers on the list, so you can see how much they differ.

5. Returns, RMA and return address Do you accept returns from my customers, and to which address? Mondex: not directly. Matterhorn: only as a paid add-on; without it, goods go back at your cost
6. Parcels without the wholesaler's branding (blind shipping) Do you ship without your logo, invoice and flyers? Matterhorn: unmarked packaging. Numoco: no marketing inserts
7. Transport damage Who reports damage to the courier, and by when? Matterhorn must receive the report within 1 business day, or it won't accept a transport complaint
8. Fees on top of the product price What do packing, activation, subscription and returned parcels cost? Mondex: a refundable activation fee to start (I don't quote the amount, I can't confirm it on their site right now). LEAN Toys: 200 PLN net for the files. Matterhorn: EUR 5 per parcel returned as undeliverable or uncollected. Numoco: no extra fees
9. Test order Can I place a test order to my own address? you order like a customer and check timing, packaging and quality

Point 5 costs the most. Your Polish customer can, as a rule, withdraw from an online purchase within 14 days without giving a reason, and you must refund them. A B2B wholesaler doesn't have to take those goods back from you: Matterhorn states that consumer law doesn't apply to its B2B transactions. Base.com describes high return rates in fashion (size, fit, colour). If you don't agree returns with the wholesaler, you are left with stock and frozen cash.

Some wholesalers take orders through ready-made apps. In Matterhorn's Shopify app you click "Request fulfillment" on the order and the wholesaler receives the customer's details. Without an integration you order manually on the wholesaler's site and enter the customer's address as the delivery address.

Email template for approaching a dropshipping wholesaler

Send one email with the questions from the table. The reply tells you straight away whether the wholesaler fits, and you keep the confirmation in writing. The template is in Polish because you will be writing to Polish wholesalers; the English version follows.

Suppliers outside the EU in 2026: EUR 3 duty, PID and product responsibility

Since 1 July 2026, parcels from outside the EU sent to EU consumers pay EUR 3 customs duty per tariff line, because the EU ended the duty exemption for parcels under EUR 150. The European Commission gives examples: 5 T-shirts in one parcel pay EUR 3 (one tariff classification), while 3 T-shirts and a watch pay EUR 6 (two classifications). The seller or importer declares and pays the duty, not your customer.

The new rules also introduce product identifiers (PID): voluntary from 1 July 2026, mandatory from November 2026. The EUR 3 rate is a transitional measure. From July 2028 the EU plans to charge regular duty based on tariff classification, origin and value. I cover what this means for choosing a market in dropshipping Poland vs UK.

The second duty is product safety. The EU General Product Safety Regulation (GPSR, 2023/988) covers manufacturers, importers and distributors, including those selling online. UOKiK, the Polish consumer authority, lists what an online listing must contain:

  • the manufacturer's details with a postal and email address,
  • the details of the person responsible for the product in the EU, if the manufacturer is not established in the Union,
  • product identification (image, type, model, batch or other identifiers),
  • warnings and safety information in Polish.

Toys, cosmetics and some other categories have extra sector rules. For toys Base.com points to CE marking and the EN 71 standard. When you buy from a Chinese supplier, ask before the first order for the declaration of conformity and who the responsible person in the EU is.

This is not legal or customs advice. Customs and GPSR rules depend on the product category and your situation, so check them with a customs broker or a lawyer before importing.

Supplier questions: 27 questions and answers

Of the 27 supplier questions I collected (21 YouTube comments, the rest from Discord, call-booking forms and mentoring sessions), 11 ask directly where to find a supplier or where I get my products. 6 ask who ships the parcel and whether you order by hand. 4 are about clothing suppliers and 2 about shipping from China and agents. The remaining 4 ask about EU markets, a commission for the supplier, European vs Asian suppliers and branded products. I quote them anonymously, translated from Polish.

"Hey, where do you recommend looking for suppliers?"

For Poland, start with the category table above: pick your category and email 2-3 wholesalers with a dropshipping programme. If you already have a store, check your platform's integration catalogue (Base.com, Sky-Shop, Shopify apps) to see which wholesalers work without manual imports.

"So when you make a deal with a supplier, you have to give them some percentage?"

You don't pay the supplier a percentage of sales. You pay the wholesale price for each product you order plus the fees in its price list (packing, shipping, feed subscription). Your margin is the gap between your store price and those costs. Sonia says the discount can be negotiated during the partnership.

"If I add a product to my store and someone buys it, do I have to order it by hand from someone…?"

Yes, if you have no integration: you order from the wholesaler and enter your customer's address as the delivery address. With an integration (a Shopify app, Base.com, an API) the order reaches the wholesaler automatically or with one click. You pay the wholesaler for the order before your customer receives the parcel.

"Is anyone in fashion with a proven supplier?"

In fashion there are Polish wholesalers with a dropshipping programme, such as Matterhorn and Numoco from the table. Agree returns with them first: in clothing, customers send back the wrong sizes, and a B2B wholesaler doesn't have to take those goods back.

"Tell me how to find someone who will ship parcels from China?"

That someone is a sourcing agent or a platform like CJdropshipping. I compare AliExpress and CJ in AliExpress vs CJdropshipping. Since 1 July 2026 you add EUR 3 duty per tariff line to every parcel from China worth up to EUR 150 sent to a consumer, and you are responsible for the GPSR details in your listing.

Polish wholesaler or Chinese supplier: which makes sense for whom

A Polish wholesaler makes sense when you sell in Poland, have a registered business with a NIP (LEAN Toys and Numoco require one at registration) and want the customer to get the parcel fast. Numoco quotes delivery within Poland in 1-2 business days. You pay for this with a higher purchase price and competition, because the same catalogue reaches many stores.

A Chinese supplier makes sense when European wholesalers don't carry the product and your margin survives the duty, longer delivery and the cost of handling returns. It doesn't make sense when you sell a product available from a Polish wholesaler: the customer compares delivery times and buys from the faster store.

If you don't have a business yet, start with the biznes.gov.pl page on unregistered activity and registering a business. Before signing up with a wholesaler, ask whether it accepts you without a NIP. The full cost of starting, beyond the supplier, is in how much dropshipping costs.
